Privacy Policy
Last Updated: July 12, 2026 | LearnHive Education Project (Not for Profit) | Powered by ATXtech
1. Information We Collect
- Account data: username, email address, password (stored encrypted), and profile information you choose to add (this is optional across our apps)
- Content you post: course submissions, forum posts, comments, group activity, and messages.
- Technical data: IP address, browser type, and device information, collected automatically for security and analytics.
- Cookies: small files used to keep you logged in, remember preferences, and measure site usage (see Section 4).
2. Who Controls This Data
LearnHive is owned by ATX Tech (“the Data Controller”), founded & operated by team of researchers and volunteers, as part of the LearnHive Education Project (an independent nonprofit educational initiative). Our legal basis for processing your data includes your consent given at account registration and our legitimate interest in operating, securing, and moderating the platform. Data may be stored on hosting infrastructure located outside your country of residence. We apply reasonable technical and organizational security measures (including encrypted password storage and access controls) to protect your data, though no system can be guaranteed fully secure.
3. Comments & Gravatar
When you leave a comment on the site, we collect the data shown in the comment form, along with your IP address and browser user agent string to help with spam detection. An anonymized hash of your email address may be shared with the Gravatar service to check whether you have an associated profile picture; see the Gravatar privacy policy for details. Once a comment is approved, your profile picture is visible publicly alongside it. Comments and their metadata are retained indefinitely so that follow-up comments from the same person can be recognized and approved automatically.
4. Embedded Content
Pages on LearnHive may include embedded content (e.g., YouTube videos, images, or articles from other websites). Embedded content behaves as if you visited the source website directly — it may collect data about you, use its own cookies, embed additional third-party tracking, and monitor your interaction with that content, including if you are logged into an account on that other site.
5. Password Resets & Spam Detection
If you request a password reset, your IP address is included in the reset email for security purposes. Visitor comments may be checked through an automated spam-detection service before publication.
6. How We Use Your Information
We use collected information to operate your account, display your profile and content to other members, moderate the community, improve the platform, and communicate with you about your account or activity. We do not sell your personal information to third parties.
7. Data Retention & Your Rights
We retain account data for as long as your account is active. You may request access to, correction of, or deletion of your personal data at any time by contacting us (see below). Depending on your location, you may have additional rights under applicable law, including:
- EU/UK users (GDPR): right to access, rectify, erase, restrict processing, and data portability.
- California users (CCPA/CPRA): right to know what data is collected, right to deletion, and right to opt out of sale/sharing of personal information (LearnHive does not sell personal data).
8. Cookies
LearnHive uses cookies necessary for login sessions and site functionality, as well as analytics cookies to understand how the site is used. You can control or disable cookies through your browser settings; doing so may limit some site features (such as staying logged in).
9. Children’s Privacy
LearnHive is not directed at children under 13, and we do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided us with personal information, we will take steps to delete it. Users aged 13–17 should have parental or guardian awareness of their participation.
10. Copyright & DMCA
If you believe content on LearnHive infringes your copyright, please send a notice to our designated contact (Section 7) including a description of the copyrighted work, the location of the allegedly infringing material, and your contact information. We will review and respond to valid takedown requests.
11. Third-Party Links
LearnHive may link to third-party sites (including learnhive.shop and instructor-provided resources). We are not responsible for the privacy practices or content of external sites; please review their policies separately.
12. Changes to This Policy
We may update this Privacy Policy periodically. Material changes will be reflected by updating the “Last Updated” date above. Continued use of LearnHive after changes are posted constitutes acceptance of the revised policy.
13. LearnHive Companion: Optional Profiles & App Data
You can use LearnHive Companion’s basic study features without providing your real name, email address, school, or other optional profile details. Certain optional features may require additional information, such as a display name for community participation.
The app nevertheless creates a persistent account identifier and stores information associated with your use, including study topics, tasks, chat messages, preferences, and learning progress. This identifier, your usage information, and any optional profile information are personal information when they identify or relate to you.
14. AI Features & Service Providers
When you use AI-powered features, information needed to provide the feature is transmitted to our AI service providers. This may include your prompts, recent conversation history, study material, submitted images, and relevant profile details, such as your display name, grade, or academic goals.
LearnHive Companion uses Replit infrastructure and Replit AI Integrations to access OpenAI models. Information may also be processed to moderate content and help prevent misuse.
Uploaded images. When you upload an image, such as a photo of your notes, it is sent through LearnHive’s servers to our AI service providers so its content can be read. We do not save the original uploaded image in LearnHive’s application database. Text or study content extracted from the image is returned to you for review, and content you choose to keep may be saved to your account. Uploading an image does not publish it or add it to community features. Because the image is still transmitted to a third-party provider for processing, do not upload images of other people, or their work or information, without their permission.
Processing by a service provider is different from publishing information to other users. However, information submitted to AI features is not processed exclusively on your device. Provider retention and use of that information depend on the applicable service arrangements and policies. Do not submit information that you are not authorized to disclose.
15. Optional Community Participation & Public Visibility
Your profile is private by default. If you enable Community Sync, selected information — including your display name, grade, school, subjects, biography, learning interests, and progress information — may become publicly accessible through LearnHive’s community features.
If you choose to share a study achievement or community post, the post and associated profile information may also become publicly accessible. Your email address is not included in the community profile listing.
Turning off Community Sync hides your profile from the community profile listing, but does not automatically delete previously shared posts. Those posts may remain accessible with associated profile information. To request removal, contact support@learnhive.org.
Other people may copy or retain information you make public. Removing it from LearnHive cannot guarantee removal of copies held by others.
16. Sensitive Information & Information About Others
LearnHive Companion is an educational service. Its basic study features do not require medical records, health information, government identification numbers, payment-card details, or other highly sensitive information.
Please avoid entering such information into chats, profile fields, study notes, images, or public posts. Do not submit another person’s personal information — including a classmate’s photo or work — unless you have the necessary authorization.
Because the app accepts free-text content and images, sensitive information submitted by a user may be stored or processed as part of that content. The absence of a mandatory sensitive-information field does not mean the app can never receive sensitive information.
17. App-Specific Retention
LearnHive Companion uses an approximately 14-day retention period for saved study topics, tasks, task-completion records, and chat messages. Removal occurs through scheduled cleanup rather than necessarily at the exact moment a record reaches 14 days. Related records may be removed when their associated study topic expires.
This cleanup does not delete all account information. Profile information, account identifiers, earned XP, achievements, community posts, and other records outside the study-content cleanup may remain until separately removed, such as through an account deletion or content removal request (Section 18).
The app’s study-content retention period does not establish the retention period for information processed by third-party providers.
18. Privacy Choices & Deletion Requests
You may update optional profile information and disable Community Sync using the available app controls. Disabling a public feature, uninstalling the app, or clearing local app storage does not by itself delete information already stored on LearnHive’s servers.
To request access, correction, account deletion, or removal of public content, contact support@learnhive.org. Where necessary, we may ask for information reasonably needed to verify your authority over the account or content. Do not send passwords, authentication tokens, or account secrets by email.
Requests are subject to applicable law, including any lawful requirements to retain particular records. Removal from LearnHive cannot remove copies independently retained by other users or external services.
